How to Be a Good Secretary

Could an office function without a good secretary handling the tasks required of him or her? Let's be blunt: there is no way any business or office could operate without having a reliable secretary under the employ of those managing it. This means anyone that wishes to procure gainful employment should develop solid secretary skills.

Is it a tough road to develop the skills needed to be a good secretary? The answer to that question will depend upon your own unique skills and talents. Most people that are committed to their abilities can become solid, talented secretaries. The steps to become a solid secretary are as follows:

Take the job as serious as possible. Be open and committed to becoming a talented and skilled secretary. This means you need to have the mental outlook that is required to be successful. Once you have it established in your mind that you can be a good secretary, you will be well on the way to developing the skills needed to be a great asset to the office.

Learn the complete totality of the tasks and duties required of a secretary. This is not as easy at it sounds because the job of a secretary is a vast one. It may take time to learn all the components but you can get a general idea of all that is required of you by simply reading up on the subject. By doing this, you can at least have a very clear idea of the main things needed to do the job. By increasing your knowledge base, you can target your performance to carry out the process.

You will definitely need to brush up on your typing and writing skills. A huge amount of time on this job will rely on handling memos, sending emails, writing letters, etc. You cannot be effective unless you have solid writing skills and grammar. Enhancing such skills is certainly recommended.

Strong phone skills are a must. In a busy office, the phone will ring off the hook in a non-stop manner. A good secretary needs to be up to the challenge of handling these calls in the most effective manner possible. This means you need to be articulate on the phone, mannerly, and assertive. These skills, which you should include in your secretary resume, may take a little time to develop but they can be developed with the right effort. More than anything else, you need strong phone skills. As such, make developing these skills among your first priorities.

Pay close attention to your performance. Note the mistakes you make and the things you perform well. Don't dwell on errors but seek to correct them and improve your performance. Such an approach will make you a well rounded secretary in a relatively short period of time.

Yes, you can become an excellent secretary as long as you are serious about your pursuits. And once you develop these skills, you could possibly write your own ticket in terms of the type of jobs you can procure. Certainly, that would be a great position to be in!
